Hotelciti ("we", "us") provides a property management platform for hotels, B&Bs and holiday lets. This policy explains what data we collect, why we collect it, and the choices you have. It applies to our website, web application and related services.
2. Data we collect
We collect account data you give us (name, email, property details), operational data you create in the product (bookings, rates, guests, invoices), and technical data needed to run the service securely (log data, device and browser information). We do not sell personal data — ever.
3. How we use data
We use your data to operate the platform (syncing bookings and rates with connected channels, generating invoices, sending transactional emails), to keep it secure (fraud and abuse prevention, backups), and to improve the product (aggregate, de-identified analytics).
4. Guest data
As a property using Hotelciti, you are the controller of your guests' data and we act as your processor. We process guest data only on your instructions and as needed to deliver the service, and we support your obligations to respond to guest requests.
5. Security
Every tenant is fully isolated. Data is encrypted in transit (TLS) and at rest. We run automated backups with point-in-time recovery, restrict internal access on a need-to-know basis, and monitor the platform 24/7.
6. Data retention
We keep your data while your account is active. If you close your account, we delete or anonymise your data within 90 days, except where law requires longer retention (for example, financial records).
7. Your rights
Depending on your location, you may have rights to access, correct, export or delete your personal data, and to object to or restrict certain processing. Contact us at info@hotelciti.co.uk and we will respond within 30 days.
